Dear Sir/Madam

We have received your statement of sales and are concerned about the high figure included for expenses. This figure seems much too high for the volume of business done.

It is, of course, possible that there are special reasons for these high charges. If so we feel it is reasonable to ask you to explain them. We are particularly concerned because, under the pressure of competition, the prices at which we offered the goods was cut to a level which left us with only a very small profit. 

We shall be glad to receive your explanation and your assurance that expenses on future sales can be reduced. If for any reason this is not possible we should be left with no choice but to discontinue our business with you, for which we sincerely hope there will be no need.
